Dear PGH Students,

We would like to let you know that the “Application for PGH Change Room & Single Room” for 2nd semester of academic year 2019/2020 will be opened for application from 06 - 13 January 2020.

請單人間申請人注意,本次申請單人間的住宿期為20202月至5當中只有完成換房的單人間申請人會被清空2020年1月6日前累積的宿舍積分。本次未完成換單人間的同學,其宿舍積分可繼續累積用於下次申請。

For Single room applicants, please be reminded that the single room stay period for this application is from February to May 2020. The PGH point of students who complete the change room procedure shall be reverted to zero. For students who do not complete the change room procedure, their PGH points could be carried forward for the next application period.

A. Schedule:
Application Period06 to 13 January 2020 (11:59 p.m.)
Single Room Lucky Draw Date
(10 PGH Points will be added to the lucky draw winners*)
15 January 2020 (3:30 pm in S3 C3 Foyer)
Result Announcement Date23 January 2020
Changing Room Period03 - 10 February 2020
(*Single room allocation will be based on PGH Points. Single room applicants with the highest PGH Points will be assigned for single rooms.)

B. Application Procedures:
1. Login in at
https://webdocs.umac.mo/sites/eform/sao/srs/Lists/PGH%2020192020%202nd%20Semester%20Change%20Room%20Application/NewForm.aspx (Application for PGH Change Room for 2nd semester of 2019/2020) with your student I.D and Password;
2. Fill in the on-line application form;
3. Upon completion, click "Submit" and you will see this for successful submission;

4. Students will receive a confirmation email in their UM student email accounts after the application form is successfully submitted.
5. If NO confirmation is received, which means the delivery of application is unsuccessful, students should contact SRS to review the application and re-submit it again. Otherwise, the application will not be entertained after the application period.

Notes:
- Students should read and complete the form carefully.
- Please ensure the application information is filled correctly before submission, no change is allowed after submission.
- The alert will pop-up at the top-left corner if there is any missing field.
- This form serves as application only; the final arrangement is subject to availability and lucky draw (10 PGH points will be added to those lucky draw winners).
- If students do not submit this application form on/before the deadline (13 January 2020), it will be considered as "NO change of PGH room is needed for 2nd semester of academic year 2019/2020”

C. Postgraduate House Residents - Changing Room Options:
(1) Interchange between 2 residents and both residents have to submit the on-line application forms.
(2) Change to single room (subject to availability). Lucky draw will be applied due to limited of single rooms (when the number of applicants exceeds the number of available single rooms). 10 PGH Points will be added to lucky draw winners. Single room applicants with highest PGH Points will be allocated single rooms. The allocation of single room will be determined by the total PGH points of the applicants. (3) Change to new bed space in shared room (subject to availability). Lucky draw will be applied due to limited of bed spaces (when the number of applicants exceeds the number of available bed spaces). PGH Points will be added to lucky draw winners. The allocation of new bed space will be determined by the total PGH points of the applicants.

D. Points to Note:
- ALL residents can only change their room ONCE per semester.
- Only current PGH residents in S2 to S4 are eligible to apply for "Application for PGH Change Room", any applications from Residential Colleges will NOT be accepted.
- Lucky draw will be held on 15 January 2020 (Wed), 3:30 pm in S3 C3 Foyer to determine the distribution of rooms (10 PGH Points will be added to those lucky draw winners).
- After the result is announced, students who DO NOT perform their room changing procedure within the designated period will be considered as "preferred to stay in the original bed space and give up the application".
- SRS will do the single room allocation for those successful applicants and no change of single room is allowed.
- E-debit note of the extra payment of accommodation fee will be issued to the residents who are successfully changed from shared room to single room in the due course.
- SRS has the rights to make the final decision.
